School Secretary

 

Primary Function: A school secretary has the responsibility to help students, staff, parents, and community develop skills and knowledge consistent with the district's vision that will contribute to all students' development as mature, able, and responsible adults. 

 

Directly Responsible To: School Principal

 

Description of Responsibilities:  

  1. Answer phone, receive messages, and respond to inquiries by staff, parents, or patrons of the district.
  2. Receive, fill out, sort, and file paperwork.
  3. Input data for recordkeeping in multiple software systems.
  4. Produce brochures, handbooks, notebooks, flyers, and meeting agendas.
  5. Type and/or draft letters of correspondence.
  6. Maintain and order supplies; organize storage areas.
  7. Implement safe cash handling procedures and manage cash handling in the building.
  8. Produce purchase orders, process invoices, track expenses, and produce budget reports.
  9. Support ASB within the school with record keeping, account tracking, and purchasing.
  10. Schedule and organize meetings or events, coordinate and set up supplies needed for meetings or events, take meeting minutes.
  11. Track and manage travel processes.
  12. Manage Keys within the building.
  13. Type or prepare reports, compile data, and distribute information to parties both inside and outside of the district.
  14. Other duties as assigned.

 

Other Functions:

  1. Care for district resources, equipment, and materials assigned to him/her and report concerns regarding facility and equipment to designated supervisor.
  2. Be knowledgeable of and adhere to all procedures and practices prescribed in the Staff, Student, and/or Parent Handbooks.
  3. Stay current through professional staff development opportunities.
  4. Share expertise and knowledge collaboratively with other office and building staff.
  5. Demonstrate punctuality and dependability.
  6. Promote a positive attitude and enthusiasm toward education.
  7. Develop and maintain positive and cooperative interactions and communication with school staff, clients, and the community.
  8. Utilize established channels for handling routine procedures, resolving problems/concern and making suggestions

 

Preferred Qualifications:

  1. Bilingual and Biliterate
  2. Experience with School Programming and Safe Money Handling

 

Minimum Qualifications: 

  1. High School Diploma and;
  2. An AA or higher;
  3. Criminal Justice Fingerprint clearance

 

WORKING ENVIRONMENT:

 

MENTAL DEMANDS

  • Required to deal with a wide range of student, staff and public behaviors and needs in a positive and service-oriented manner. 
  • May occasionally deal with distraught or difficult students or parents.

PHYSICAL DEMANDS

  • Physical capabilities require lifting and carrying, pushing and/or pulling, stooping, kneeling, crouching, crawling, twisting, and significant finger dexterity.
  • Generally the job requires approximately 10% sitting, 45% walking, and 45% standing.
  • Maintaining good hygiene is essential.
