Position Summary:
This Registration and Records Assistant assists Registration and Records Specialist in adding, maintaining, and updating client information in the Management Information System (MIS). The Registration and Records Assistant will also be responsible for tracking and monitoring existing data for client charts, First Offered Intake/Assessment and First Offered Routine Services, assist in quality control of correct services encounters being entered in the MIS.
Responsibilities:
Provide assistance to counseling department in chart data entry and quality control
Review of chart data
Data entry for Chart openings
180/90 Day Periodic Reviews, Transfers and Closings
Work with Registration and Records Specialist, Support Staff, and Clinical Staff to ensure continuity of client services
Assists in cross training of the Registration and Records Specialist in document/chart maintenance in association with the MIS
Perform primary verification auditing transfers, closings, internal and preparation for RSN audits for quality control
Maintenance of client chart information in the MIS
Enter case staffing
Provides support to Registration and Records Specialist
Meet walk-ins and receive phone calls from persons requesting or referring for counseling services, screen for urgency and appropriateness of services and make referrals when other services are more appropriate
Assign cases for intake-assessment by clinicians, taking into account the clients needs, insurance requirements and therapist expertise and availability
Register and maintain client information in the MIS
Provide assistance to Accounting Office, specific to billing counseling charges
Scan private pay/cash clients to Registration and Records Supervisor after intake if needed
Complete daily insurance eligibility screen from Provider one, MCO and Commercial portal(s) as needed
Bank Deposit and CRG prep as needed
Perform other duties as assigned
Job Requirements:

Physical Requirements:
This position normally requires the physical demands of sitting, standing, walking, bending, lifting or performing other work requiring low physical exertion, talking, hearing and adequate vision on a regular basis to perform the job requirements. These physical demands are required up to 90% of the time.
Non-Physical Requirements:
Education
Associates Degree or business school training preferred
Completion of recognized course in data entry operation, preferred
Experience
2 years experience in data entry within a collaborative team environment
Special Skills
Knowledgeable of Community Mental Health System and requirements
Ability to manage high detail administrative tasks
Bilingual (English/Spanish) preferred, but required
Flexibility in scheduled work hours
Computer skills and knowledge of Microsoft Word
Strong interpersonal skills
Team player
Licensure, Registration, Certification
Valid Washington State drivers license and minimum required liability insurance for WA State
Employment is conditional upon:
Being cleared by criminal background check and fingerprinting when required
